Bookkeeper Job Description


Responsible for handling the fundamental aspects of a firm's financial recordkeeping, including recording financial transactions, managing accounts payable and receivable, reconciling bank statements, and completing annual tax forms.

Primary responsibilities

  • Prepare financial statements and reports, including the profit and loss statement and balance sheet.
  • Pay bills and maintain ledgers.
  • Receive, approve, and/or process client invoices.
  • Keep track of client assets.
  • Assist accountants with tax return preparation.
  • Code payables for accounts payable clerks to input.
  • Make bank deposits and receipts of money.
  • Reconcile bank account and distribute money within departments.
  • Assure expenditures are in accordance with code balances for item acquisition.
  • Conduct invoice activities and pay vendors for delivered materials.
  • Generate 1099's and W-2's.
  • Prepare appropriate schedules and reports as requested by clients and partners.
  • Handles client mail / supplies.
  • Answer and screen all telephone calls.
  • Enter customer sales orders and invoices.

Secondary responsibilities

  • Assist Reply to some sales emails and handle customer inquiries (i.e. brochures and POS material) and keep all contacts up to date (customer setup).
  • Assist in different marketing strategies. Occasionally, you will assist in making a sale, or follow up with customers to make sure the product or service we sold has been delivered as promised and after sales support.
  • Assist with continuous customer contact (before and after sale).
  • Assist with arranging travel for sales and service department.
  • Assist with and setup appointments for sales as needed.

Education, Experience, and Skills Required:

  • Minimum of two years responsible accounting or bookkeeping experience including accounts payable,                                                                                         accounts receivable, payroll,
  • Ability to perform several tasks concurrently with ease and professionalism.
  • Ability to operate calculator, computer, and other general office equipment.
  • Knowledge of Sage 2014 accounting, (preferable)
  • Knowledge of computerized accounting, but must be able to do a manual set of books.
  • Knowledge of regulatory requirements of processing payroll accounting transactions and payroll returns.
  • Ability to communicate clearly and concisely, verbally and in writing, in English.
  • Must be able to keep client matters strictly confidential.
  • Must have excellent interpersonal skills and customer service skills.
  • General ledger and financial reports.
  • Must have knowledge of Microsoft Office.
